The Partnership Principle: Why Vendors Matter More Than You Think
Planning a Successful Event – Step 7
What could be worse than taking the time to carefully define goals, craft a budget, create a clear understanding of your audience, and plan a memorable event design only to have your event fail? While it may seem that your preparations will ensure a success, unfortunately all it takes is for the vendors you select to execute your vision fail to deliver. When this happens, none of your careful planning will matter.
Step 7 of the Free Bird Events 14-step event process is often underestimated by organizations, even those that regularly manage large-scale events. Many assume selecting vendors is simply a matter of gathering a few quotes and choosing a provider. Experienced event professionals know the reality is far more complex.
The vendors you select become an extension of your event team, your brand, and your reputation. Their success becomes your success. Unfortunately, their failures become your failures as well.
Representing Your Brand
Attendees rarely distinguish between the organization hosting an event and the companies supporting it. They don’t lay blame on the catering company for arriving late, the transportation provider for missing a pickup, the audiovisual company who fails to test equipment, or the décor vendor who delivers the wrong items. They hold the event organizer accountable.
To attendees, clients, sponsors, executives, and stakeholders, it’s all part of the same event experience. When things go wrong, nobody says, “That wasn’t the organization’s fault.” They will unfortunately say, “The event was poorly organized.”
Fair or not, that’s reality.
As event planners, we must be prepared to own the outcome, even when the problem was created by someone else.
Selecting Vendors Strategically
The best vendors do far more than provide services. They become trusted partners. A solid vendor will:
- Solve problems before they become emergencies
- Communicate proactively
- Understand event objectives
- Adapt when circumstances change
- Protect the attendee experience
- Help keep budgets on track
- Support the event team under pressure
When planning large events, you must remove the mindset that you are hiring individual vendors and shift to the idea that you are building an ecosystem of partners who should work together seamlessly. One weak link can create ripple effects throughout the entire event.
A strong vendor can be the difference between a successful event and a costly disruption. I experienced this firsthand while managing an international event where the client declined to fund a pre-event site visit for my team and network partner. Although the venue assured us its bandwidth could support our technical requirements, the reality was far different. During the event, the venue’s entire network failed, bringing operations to a standstill. Even more concerning, there was no on-site technical support available to resolve the issue. Fortunately, my trusted network partner was able to diagnose and restore the system, allowing the event to continue. Without that expertise and partnership, the event’s outcome could have been very different.
Researching Vendors Before You Sign
Finding the lowest price should never be the sole factor when selecting a vendor. The saying, “You get what you pay for” comes to mind. Unfortunately, many people have discovered that the cheapest vendor can become the most expensive mistake.
Before engaging any vendor, take the time to question:
- Have they supported events of a similar size?
- Do they have experience with your industry?
- Can they provide references?
- What do their former clients say about them?
- How responsive are they?
- Do they have a history of reliability?
- Are there recurring concerns in reviews?
- How do they handle challenges?
- Are they transparent about pricing?
- Do they communicate professionally?
- Do they stand behind their commitments?
A vendor may have impressive marketing materials and a compelling sales pitch, but true value is revealed when challenges arise. The goal is to build relationships with partners who remain reliable under pressure and consistently deliver results when it matters most. This is where the network of an experienced event management team becomes invaluable. Not only do seasoned planners know which vendors excel in specific areas, but they can often leverage established relationships to secure preferred pricing and added value for their clients.
Aligning Values
You can never be too careful when selecting the partners who will represent your organization on-site. Beyond their skills and experience, it’s equally important to evaluate whether their values align with your own. Vendors become an extension of your brand, interacting with attendees, stakeholders, and clients in ways that directly influence how your organization is perceived. When your partners share your commitment to professionalism, service, integrity, and inclusivity, they help create a more authentic and consistent event experience.
The vendors you choose do more than deliver services; they represent your organization in action. When their values align with yours, they help create a seamless and authentic experience that strengthens trust in your brand.
Ask yourself:
- Do their business ethics align with our organization?
- Do they treat employees fairly?
- Do they value customer service?
- Do they operate professionally?
- Do they share our commitment to quality?
Attendees may never know who designed the stage or managed transportation logistics. But they absolutely notice when service is poor, communication breaks down, or professionalism is lacking. Your reputation is too valuable to place in the hands of partners whose values conflict with your own.
Protecting Your Budget
One of the less glamorous parts of event management is accepting responsibility when things go wrong. And eventually, something always goes wrong. Perhaps a shipment arrives late. A speaker misses a flight. A technology platform crashes. A transportation provider experiences staffing challenges. And let’s face it, these mistakes can be expensive to fix.
The attendee doesn’t care whose fault it was. They’re looking to the event organizer for answers. That’s why experienced event planners don’t simply hire vendors. We build relationships with trusted partners who have demonstrated that they can perform under pressure and recover quickly when challenges arise. The ability to solve problems often matters more than the ability to avoid them entirely.
One of the most common ways organizations exceed their event budgets is through poor vendor management. The issue isn’t usually dishonesty. More often, it’s ambiguity. A vague proposal. An incomplete scope of work. Assumptions that were never documented. Services that weren’t included in the original estimate or last-minute additions. Unexpected labor fees and additional equipment charges.
Suddenly, a quote that appeared reasonable becomes significantly more expensive than anticipated. This is often referred to as “scope creep” or “cost creep,” and it can quietly derail even the most carefully planned budgets.
This is one of the areas where professional event planners provide tremendous value.
Experienced planners understand how to:
- Develop detailed scopes of work
- Request competitive bids
- Compare proposals accurately
- Negotiate favorable agreements
- Identify hidden costs
- Clarify responsibilities
- Hold vendors accountable
- Protect client budgets
Anyone can collect three quotes. The real skill is knowing whether those quotes are complete, realistic, and comparable. Without that expertise, organizations may unknowingly select proposals that appear affordable but eventually create significant budget overruns.
Final Thoughts
Behind every successful event is an army of professionals working hard to make it look effortless. The venue staff. The production crew. The caterers. The decorators. The transportation providers. The technology specialists. The entertainers. The countless partners who help transform an idea into an experience. Choosing those partners wisely is one of the most important decisions you’ll make during the planning process.
At Free Bird Events, we understand that vendor selection is about far more than pricing. It’s about trust, accountability, professionalism, and protecting our clients’ reputations. We know that if a vendor fails, our clients are the ones who face disappointed attendees, frustrated executives, and difficult questions. That’s why we have built a select group of partners and approach vendor selection with the same level of care and scrutiny that we bring to every other aspect of event planning.
Because when the lights come on, the doors open, and your attendees arrive, there’s no such thing as “the vendor’s problem.” There’s only the event. And everyone will remember how you delivered it.
